Position – Senior Document Controller
Type – Contract
Rate – Circa £27.00 per hour Umbrella Co Shifts OR £22.00 Office Hours
Expenses – £100 Per Diem (outside 30 mile radius) 

Duration – 12 Months + possible extensions
Hours – Typically 38 hours per week 
Determination – Inside IR35
Security – UK BPSS / SC Security Clearance to be in place
Location – AWE Aldermaston, Berkshire, UK

Job Purpose;

The Senior Document Controller is responsible for document management independently and primarily in complex situations across P3M. The Senior Document Controller is able to establish and maintain the document management plan and process through the project lifecycle.

Key Responsibilities;

Top S Major Tasks and Activities

•        Registering and capturing of documents in the Electronic Document Management System (EDMS) — including Cavendish, Client or any relevant sub-contractors documentation.

•        Review of document formats, coding and adherence to checking & approval processes for signatures.

•        Circulation of documents for review, information, acceptance etc.

•        Provision of daily/weekly and monthly status reports.

•        Archiving, closeout and handover at project completion.

Additional Key Accountabilities

•        Allocation of Cavendish and Client document numbering systems.

•        Administration of the EDMS, performing Super user permission e.g. creating vaults, managing users and their permissions, adding and changes to the workflows, data cards and reports.

•         Manage the Document Control Group shared Inbox.

•        Control of electronic document and drawing files.

•        Circulation of documents for review, information, acceptance etc.

•        Document revision process and retention.

•        Document filing and retention — both hard copy and electronic.

•        Issue of controlled documentation as required.

•        Ensure all deliverables required for handover to the Client are stored during the project or interim delivery at agreed stages.

•        Liaison with Client Document control team and DMS.

•        Development of good practise processes and instructions.

•        Training and development of all stakeholders involved in the document processes.

•        Coaching, mentoring and development of staff in document management processes and on the Cavendish Nuclear EDMS.

•        Establish and maintenance of governance measures.

•        Attending and contributing the business Document Management Specialist Interest Group/Communities of Practise.

Experience / Qualifications / Skills

Company/Industry Knowledge:

•        Extensive recent and relevant experience in a similar environment / business sector

•        Extensive experience in applying document management in a complex environment

•        Awareness of various contracting methodologies (e.g. FlDlC/NEC3/JCT etc.)

•        Advanced knowledge of document management techniques

•        Experience of various document management toolsets

•        Full project lifecycle experience from bid phase through to close out

Qualifications:

•        Relevant qualification in Information Management

•        National Diploma in Business Admin (Level 4) or equivalent qualification

•        Have an professional qualification (e.g. APM/CMII) (or equivalent)

Key Technical Skills

Proficient (applies the competence independently, primarily in complex situations , supervises others applying the competence , has a detailed knowledge in complex situations and can critically evaluate and adapt as required) in the following APM competencies —

•        Requirements Management – the ability to prepare and maintain definitions of the requirements through the project lifecycle including document management of deliverables.

•        Change Control — the features of a rigorous change control process , and how to establish , implement and maintain a change control process

•        Quality Management – the ability to develop, maintain and apply quality management processes and outputs.

         Competent (applies the competence independently, primarily in situations of limited complexity, has a comprehensive knowledge in situations of limited complexity) in the following APM                                 competencies.

•        Reviews — the legal, regulatory and organisational requirements for review, the range of factors that need to be evaluated during reviews, and how these may vary throughout the lifecycle of the                    project

•        Frameworks and methodologies — the appropriate adoption of specific frameworks and methodologies for the management of projects and tailoring of these

•        Contract Management – The nature of contracts and statements of work, and the implications for the contracting organisations and the suppliers into this.

Negotiating and managing contract variances

•        Stakeholder and Communications management — the systemic identification and analysis of stakeholders , and the planning and conduct of interactions to engage and communicate with them
